Job Summary
 
The Talent & Scheduling Coordinator is a critical, multi-faceted role responsible for the efficient day-to-day operations of the office, ensuring optimal client-caregiver scheduling, and managing the recruitment, credentialing, and onboarding process for field staff. This position is vital for maintaining high standards of care delivery, regulatory compliance, and overall agency efficiency.
 
Key Responsibilities
· Scheduling & Care Coordination:

o   Manage and coordinate all client service schedules, accurately matching client needs, preferences, and location with caregiver skills and availability.

o   Utilize the agency’s scheduling software to minimize scheduling conflicts, overtime, and caregiver travel time.

o   Respond promptly to all scheduling changes, including caregiver call-outs, hospital admissions/discharges, and client requests, ensuring continuity of care is maintained at all times.

o   Communicate schedule details and changes effectively and professionally to clients, family members, and caregivers.

· Recruitment & Onboarding:

o   Source, screen, and interview prospective field staff (e.g., CNAs, HHAs, Companions) to maintain an adequate staffing pool.

o   Conduct comprehensive reference checks, verification of credentials, certifications (e.g., CNA, HHA), and state-required background checks.

o   Coordinate and lead new hire orientation and onboarding, ensuring all necessary employment and clinical documentation is completed accurately and timely.

o   Maintain current, accurate, and compliant employee personnel files.

· Office Administration & Support:

o   Serve as the primary point of contact for all incoming office communications, including phone calls and emails, directing inquiries to the appropriate staff member.

o   Assist with office functions, including filing, managing office supplies inventory, and data entry.

o   Provide administrative support to the leadership team and assist with tasks related to payroll and billing documentation.

Qualifications
· Education: High School Diploma or equivalent required; Associate’s degree preferred.

· Experience: Proven experience (2+ years) in a healthcare setting, specifically within a home health, home care with direct experience in scheduling and/or recruiting.

· Skills:

o   Exceptional organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.

o   Excellent written and verbal communication and interpersonal skills.

o   Proficiency in Google Workspace and prior experience with electronic scheduling/EHR software.

o   Knowledge of state, and federal regulations governing home care operations (e.g., HIPAA, employment laws).

· Attributes: Must be highly professional, patient, empathetic, and capable of handling sensitive information with confidentiality.
